Assetloop privacy policy

Last updated: 13 October 2026

Assetloop: Asset Register for Jira ("Assetloop") is published by Joao Duro De Matos, a sole proprietorship registered in Poland (NIP 9452193255), Ułanów 64D lok. 27, 31-460 Kraków, Poland.

The short version

Assetloop runs on Atlassian Forge and is eligible for the "Runs on Atlassian" programme. It has no servers of its own. Everything it stores stays inside Atlassian's platform, for your Jira site, and it sends no data to us or to anyone else. About people, it stores only Atlassian account ids, never names or email addresses.

What Assetloop stores, and where

Assetloop keeps its data in the Forge SQL database that Atlassian hosts for the app on your site. Only Assetloop can read it; it is not shared with other sites or other apps.

Assetloop also writes to Jira itself, through Jira's own APIs:

Free text you type (asset names, notes, locations, custom attributes) is stored as you typed it. Please do not put personal data there that you do not need.

Assets are not deleted from the app: they are retired or disposed, and stay in the register for the record. When the app is uninstalled, Atlassian removes the app's stored data under its Forge data retention rules. Export the register and the change log to CSV first if you want to keep them. Work items and "Linked assets" values stay in Jira like any other Jira data.

Personal data

Assetloop stores the Atlassian account ids of asset owners, assigned users and people who changed an asset. It does not store names or email addresses: names are looked up from Jira each time they are shown. During a CSV import, the names or emails in the file are looked up in Jira to find the account id, and only the account id is kept.

Once a week Assetloop reports the account ids it stores to Atlassian's personal data reporting API, as Atlassian requires. When Atlassian answers that an account has been closed, Assetloop removes that account id from the assets and the change history; the history then shows "Closed account".

Who can see the register is up to your Jira administrators. By default every Jira user on the site can see the register, the Assets panel and the dashboard gadget. An administrator can limit viewing to one Jira group and changes to another (Jira administrators always have access).

Atlassian processes your data under its own terms and privacy policy. For the data Assetloop stores, your organisation remains the controller; we never receive it.

What we receive

Nothing from your Jira content or from the register. Assetloop makes no calls outside Atlassian. Like every Marketplace partner, we can see the licensing and install information Atlassian provides to partners (for example which sites have the app installed and the licence tier) and the logs Forge keeps for the app. Those logs record counts and errors, and an error may contain an asset tag or a work item key. We use this information only to support and improve Assetloop.
